Delete your account

How to ask us to delete your Notermed account and the data tied to it. This covers the Notermed website and the Notermed Android app (com.notermed.app), both from CS2 Technologies Inc.

1. How to request deletion

You do not need the app installed. Email us from the address you sign in with:

  1. Write to info@notermed.com with the subject "Delete my Notermed account".
  2. Include your full name and the name of your clinic.
  3. We reply to confirm it is you and that you want to go ahead, because a deleted account cannot be restored.
  4. Once you confirm, we delete the account within 30 days and email you when it is done.

If you use Notermed through a clinic, your clinic's administrator can also remove you from the clinic. That stops your access straight away; the email above is how you ask for the account itself to be deleted.

To close a whole clinic, the clinic's administrator writes to the same address. We cancel the subscription and agree with the clinic what happens to its patient records before anything is removed.

2. What we delete

  • Your profile: name, email address, phone number, title and professional details.
  • Your password, two-factor settings and preferences.
  • The phones registered to your account for notifications.
  • When a whole clinic is closed: its patient records, visit recordings, transcripts and notes, once the clinic has told us its records can go.

3. What we keep, and for how long

  • Patient records and clinical notes. These belong to your clinic, which is the healthcare provider, not to your personal account. Deleting your account does not delete them. The clinic decides when they are deleted, under the medical record retention rules it has to follow.
  • Messages and tasks shared with colleagues. These are part of the clinic's workspace and stay with the clinic until the clinic is closed.
  • Access audit records. Kept for at least six years, as HIPAA requires. They record who opened what and when, never the patient information itself.
  • Billing records. Invoices and payment history are kept for as long as tax law requires. Card numbers are held by Stripe, our payment processor, and never stored by Notermed.
  • Backups. Deleted data leaves our encrypted database backups within 14 days, as older backups expire.
