Notermed records the visit, drafts the clinical note, and files it into the patient's Tebra chart once you have reviewed and signed it. You keep the chart you already use. Nothing is filed until you sign.

Tebra was called Kareo before the rebrand, so if that is still the name on your practice's account, it is the same one Notermed connects to.

How Notermed works with Tebra

Five steps, and four of them are the ones you already do. Only the first is setup, and it happens once.

  1. Step 1

    Connect your Tebra account

    Whoever manages your clinic's integrations enters the Tebra customer key, API user and password once. Notermed runs a read-only connection test and tells you whether the credentials work, so you find out then rather than at the end of a clinic day.

  2. Step 2

    Record the visit

    Start the session on the web app or on your phone and talk with your patient the way you always do. Doctor and patient speech are separated for you.

  3. Step 3

    Read the draft

    A structured note comes back from the conversation, in your own template. Change anything you want changed. Until you sign it, it is a draft and outside the record.

  4. Step 4

    Sign it

    You sign every note yourself. Nothing is sent to Tebra before that, and Notermed never signs on your behalf.

  5. Step 5

    File it to the patient's Tebra chart

    Notermed matches your patient to a Tebra patient on first name, last name and date of birth, or you search on part of the full name and pick from the results. The signed note is then filed into that chart as a document. If two patients match, you choose. If none match, nothing is filed and Notermed says so.

Afterwards the visit carries its own send status, so you can tell a note that reached Tebra from one that failed or is still waiting on a patient match.

What holds true for your patient data

What the Tebra connection covers

Questions clinics on Tebra ask

Does Notermed put the note into the Tebra chart automatically?

No. Notermed drafts the note, you edit whatever you want changed, and it stays a draft until you sign it. Filing it to Tebra is a separate step you take after signing, so nothing reaches the chart before you have read it.

How does Notermed find the right patient in Tebra?

It searches your clinic's Tebra patients by first name, last name and date of birth. You can also type part of a patient's full name and pick from the results. If more than one Tebra patient matches, you choose which one. If none matches, nothing is filed and Notermed tells you to pick or create the patient in Tebra first.

How is the note stored in the Tebra chart?

As a document on that patient's chart, named so it is recognizable as the clinical note for the visit. Notermed does not write into individual Tebra fields and does not add coded problem lists or other structured data.

Does Notermed pull appointments or schedules from Tebra?

No. Reading your Tebra schedule is not built. You start the visit in Notermed, and the only thing that moves the other way is the signed note you file into a patient chart.

How do I know the note reached Tebra?

Each visit carries its own send status. It will tell you the note was sent, or that the send failed, or that it is still waiting on a patient match. A failed send leaves your note exactly as it was, so you can fix the cause and file it again. And if you filed the note in Tebra by hand, you can mark the visit as filed here, which Notermed records as your word rather than as a send it can confirm.

Who can see the patient data Notermed holds?

Only your clinic. Each clinic is kept separate from every other, access inside a clinic is by role, and every read of patient data is logged. We sign a Business Associate Agreement with your clinic before any patient data is processed, patient data is stored and processed only on US servers, and patient conversations are never used to train AI models.
